Job Summary:

Circadia is seeking a highly organized and strategic Executive Assistant to the CEO to provide high-level executive, administrative, and operational support. The ideal candidate will act as a trusted partner to the CEO, managing priorities, communications, and critical initiatives to ensure alignment with the company’s strategic goals.

This role requires exceptional judgment, discretion, and the ability to anticipate needs while coordinating complex schedules, executive communications, board and investor materials, and cross-functional projects to maximize the CEO’s effectiveness and leadership impact.

What You’ll Do:

  • Serve as a trusted strategic partner to the CEO, proactively managing business priorities, competing demands, and high-level initiatives to ensure alignment with company vision and growth objectives.
  • Collaborate with the Personal Assistant to the CEO to maintain and optimize the CEO’s professional calendar, protecting time for strategic focus, external engagements, investor relations, and executive leadership responsibilities.
  • Act as a gatekeeper and liaison for internal and external stakeholders, ensuring communication is streamlined, prioritized, and handled with professionalism.
  • Prepare executive briefings, presentations, board materials, investor updates, and speaking notes to support the CEO’s leadership responsibilities.
  • Draft and manage executive correspondence, including confidential communications, leadership messaging, and sensitive organizational matters.
  • Coordinate meetings, executive leadership sessions, and strategic planning events, ensuring materials are prepared in advance and follow-up actions are tracked.
  • Support investor, partner, and external relationship management by coordinating meeting logistics, preparing background materials, and ensuring follow-through on commitments.
  • Lead and support strategic projects on behalf of the CEO, driving timelines, cross-functional coordination, and progress visibility.
  • Monitor enterprise-level priorities and strategic initiatives, providing status updates and identifying potential risks or bottlenecks.
  • Maintain strict confidentiality and exercise sound judgment in handling sensitive company information, personnel matters, and executive-level decisions.
  • Coordinate business-related travel arrangements for the CEO, including domestic and international travel associated with meetings, conferences, and organizational commitments.
  • Oversee organization and maintenance of executive records, files, contracts, and key business documentation.
  • Anticipate executive office needs and proactively resolve issues to maximize the CEO’s effectiveness, leadership presence, and organizational impact.

What You Bring:

  • High School Diploma or equivalent required. Additional coursework in business administration, communications, or a related field is a plus.
  • Minimum of 7 years of progressive executive support experience, preferably supporting C Suite or senior executive leadership.
  • Demonstrated experience managing complex executive calendars, high visibility stakeholders, and sensitive organizational matters.
  • Proven ability to operate in a fast paced, growth-oriented environment with shifting priorities and competing demands.
  • Exceptional written and verbal communication skills, with experience drafting executive level correspondence, presentations, and briefing materials.
  • Advanced proficiency in Microsoft Office Suite and comfort navigating business systems such as ERP, HRIS, project management platforms, and expense management tools.
  • Strong project coordination and organizational skills with the ability to anticipate needs and act proactively.
  • High degree of emotional intelligence, executive presence, and professional maturity when interacting with board members, investors, partners, and leadership.
  • Demonstrated ability to maintain strict confidentiality and exercise sound judgment in handling highly sensitive information.
  • Flexibility to adjust schedule as needed to support executive travel, board meetings, external events, and time sensitive initiatives.

Job Type: Full-Time | Location: On-Site in Reading, PA
